Migrate from Proofpoint to Office 365 (using native exports)

With the Aid4Mail version 5 Enterprise license, you can process Proofpoint exports in their native format. Proofpoint exports normally come in password protected ZIP files that are sent to you on an external hard drive or downloaded via Proofpoint.

Here’s how Aid4Mail version 5 handles the Proofpoint export format:

  1. It can access the password protected zipped files in their native format. You will not need to unzip all the files provided to you by Proofpoint.
  2. Process and re-organize all the emails so that the emails for each email address are saved in separate folders (the parent folder being the email address name).
  3. Quickly and Accurately parse through all the Proofpoint data only once to re-organize the emails for each email address.
  4. Functionality to create multiple sessions to convert all the emails from each email address to a separate PST file that can be used to upload to Office 365 accounts or convert to other supported formats like EML, MBOX, PDF or MSG.

As shown above, you can use Aid4Mail to convert your Proofpoint archive to Office 365 reliably and with little effort from your side. Below you can take a look at the tutorial video or walkthrough to get a better idea of the steps that need to be taken to migrate your Proofpoint archive export to Office 365.

Please be aware that other tools say they support Proofpoint archive exports but they in fact do not. They do not support the native zipped format and are unable to re-organize all the emails by email account in one single conversion. With other tools, you would need to unzip all of the Proofpoint archive files and process all of archives for each email address. Just think if you have 5TB of Proofpoint export data and have 2,000 email accounts. You will need to process 10,000TB of data in order to re-organize all of the emails. Aid4Mail can re-organize all the emails by email account with only needing to process the 5TB of Proofpoint export data one time!

Let’s now go through how you can successfully process a Proofpoint export using the Aid4Mail 5 Enterprise license.

Most likely, your Proofpoint export has a file/folder structure that looks something like this:Proofpoint export file/folder structure

In our experience with other clients, each zipped file contains around 10,000 emails. Aid4Mail 5 will be able to access and process all of the zipped files even if they are password protected. So there is no need to unzip them and Aid4Mail version 5 provides a way to enter the password for access to the emails in the zipped files.

Proofpoint archives come with all of the emails mixed together and thus you will first need to re-organize all of the emails for each email address.

To accomplish this in Aid4Mail 5, you will need to setup the session and use the {EmailAccount} token in the target “Folder Structure template” section as shown here:Aid4Mail Source and Target settings re-organizing Proofpoint export

In the above screenshot, you can see that Aid4Mail version 5 provides the “Password” field once the “Proofpoint” Source format is selected.

Under the Target section, I used the “Folder Structure Template”: {EmailAccount:*@enron.com}

This means that any email address with the domain “enron.com” will be re-organized. This of course will need to be updated with your own domain.Aid4Mail target settings for Proofpoint re-organization

Under “Options” then “Filters”, you can see if you prefer the results with the “strict behavior” option turned-on or off when using the “{EmailAccount} template token”. Most clients of ours processing Proofpoint exports have preferred the results when the “strict behavior” option is turned-off (not checked).Aid4Mail EmailAccount settings

I also selected “Use FNV-1a signature” as this will help speed up the conversion.

Once I run this session, my “Target” folder “Proofpoint – Reorganized” looks like this:Email accounts re-organized

As you can see, each email address with “enron.com” had a folder created for it and the folder contains only emails with that email address in them.

If you now need to convert each of these folders to a separate PST file or other supported format, you can use the asterisk duplication character to create a session for each parent folder.

To accomplish this, first create a new Project in Aid4Mail 5 and setup the single session like this:Aid4Mail creating session for each email addresses folder

The Source format will be “EML” and the ” Location” is set to the following with the asterisk wildcard: C:\Users\Josh\Desktop\Proofpoint export – Reorganized\*

The Target “PST file:” is set to: C:\Users\Josh Smith\Desktop\Proofpoint export PST Files\*.pst

I also set the Target “Location”, or base folder in the PST file, to: Proofpoint Emails

The Target “Location” is optional and can be completely removed or changed to your preference.

After the session is setup as shown above with your specific location for the source and target formats, show the session list, under “View”, and then simply click the “Duplicate” button. Now watch the magic of Aid4Mail creating a session for each email address and having the email address as the PST file name. It will look something like this:Creating session for each email address for processing to PST files.

As you can see, a session is created for each parent folder from the Source “Location:” with the email address as the PST file name.

You can now decide how many sessions you would like to run concurrently (under “Options”>”Session”>”Multiple Sessions”) and then use the “Run All” button to automate and start processing all the sessions.

Once you have all of the PST files for each user, the best way to upload them to each users account in Office 365 is by using Microsoft’s network upload option.
